Client Overview
This large central government agency plays a critical role in supporting New Zealand’s public services. Guided by a strong Charter commitment to working effectively with and for the community, the organisation operates within a highly regulated environment with strict compliance, security, and operational requirements.
To support a move into a newly built facility, the agency required a relocation partner capable of delivering a secure, efficient, and well‑coordinated transition without disrupting daily operations.
Project Brief
The agency was relocating from a multi‑floor office into a new purpose‑built facility in Dunedin. The project involved the relocation of approximately 120 staff over a four‑day period and included:
- Movement of personal files and existing IT‑specified furniture
- Relocation of 80 desks (approximately 20 back‑to‑back pods)
- Full IT disconnection, installation, and reconnection
- Clearance of surplus furniture from the existing site
The programme required careful coordination to ensure business continuity while meeting strict timelines.
Our Approach
Crown Workspace worked closely with the Agency’s internal project management team and external desking contractors to develop a detailed logistics plan prior to commencement.
All existing desk pods were relocated and reinstalled at the new facility. Crown Workspace was then responsible for fitting new desktop IT infrastructure, including monitor arms, keyboards, cabling, and reinstating existing dual‑monitor setups.
To support delivery, specialist Workspace staff were deployed from Crown’s Auckland and Wellington branches, supplementing the local Dunedin team and ensuring the required technical expertise was available onsite throughout the move.
Sustainability & Clearance
While the main relocation was underway, a separate Crown team completed the full clearance of remaining furniture from PLH. Approximately 140 cubic metres of material were removed, with 70% diverted from landfill.
As part of Crown’s sustainability commitment, three truckloads of furniture were donated to a local high school, supporting community reuse and reducing environmental impact.
Delivering on Time & Under Budget
The project was completed one day ahead of schedule and under budget. As a variation to the original scope, selected furniture was relocated from the Dunedin office to the Timaru office. Older furniture was removed and sustainably disposed of by the Crown Christchurch team.
Traffic management procedures were also implemented to mitigate the impact of significant roadworks occurring at the origin site during the move.
