In Addition to this accolade, Crown Records Management was nominated with our partner ELO Digital in various categories. We were also shortlisted as runner up in the category: BPO/Outsourcing/Bureau Business of the Year.We worked with CONZUL to develop templates for the creation of a single national database and procedures for the on-going management of their holding which to date encompass just under 20,000 cartons and 450,000 individually tracked volumes.
As each university moved their holdings to Crown, all the other university libraries were able to view the database of titles now held at Crown and discard any duplicated items from their collections.
Whereas previously each university independently met their own collection storage costs, they now share the storage costs of a jointly owned collection of low-use research materials.
From the end-user perspective, a title is requested as previously, the university library staff then order it from Crown who retrieve it, scan it and deliver it back to the library electronically.
The new Auckland Council led by its newly appointed Records and Archives Manager, Jaqueline Davidson, tendered out the records management business of Auckland Council and it associated entities. In total, this encompassed over 110,000 cartons of information.
The major challenge was to move to one supplier with one coherent database, with a common taxonomy, retention schedule and procedures.
Auckland Council is well on track to achieving their ultimate ambition of having one cherent database manage through one EDRMS, held with one external supplier.
The new document management solution has been delivering greater access to information, higher transparency and more effective management of what are in many instances historically valuable documents.
